Executive Assistant to the Director of Services

Job Summary: 

The purpose of this position is to support the Owner/Director of Services of Acceptional Minds in managing communications, research, organization, scheduling, task prioritization, and coordinator with external clients and vendors, while ensuring seamless coordination between the Owner/Director of Services and the wider team. This full-time position will typically work M-F, but must be able to flexible to work Sundays as needed.

 Duties and Responsibilities: 

  • Manage Communications, Calendar, and Schedule for the Director of Services 
    • Monitor, draft, and respond to emails on behalf of the Director of Services in a timely and professional manner
    • Maintain and organize the Director of Services’ calendar 
    • Schedule meetings and appointments 
    • Send out relevant meeting and calendar reminders 
    • Ensure prioritized tasks are addressed and scheduled efficiently 
    • Balance Personal and professional obligations 
  • Under the Direction of the Director of Services, conduct thorough scholarly research on current and evidence-based methods, interventions, and therapies
    • Summarize findings and discuss recommendations with the Director of Services 
    • Summarize and properly site findings in presentation materials 
    • Utilize SPSS for internal data analysis  
  • Organize the Owner’s workload,  
    • Help prioritize tasks 
    • Ensure deadlines are met 
    • Follow up with internal and external team as needed 
  • Provide Meeting Support under the Direction of the Director of Services 
    • Attend meetings as needed
    • Take detailed notes and upload them into SharePoint 
    • Follow up with team members to track progress and ensure project completion. 

Required Skills and Abilities 

  • Proficiency in Excel, Word, Outlook, SharePoint, online calendar management and data entry skills  
  • Proficiency in Apple Systems (MacOS, iOS) 
  • Exceptional interpersonal communication skills  
  • Attention to detail, organization, and the ability to manage multiple tasks  
  • Ability to appropriately communicate with a variety of staff, families, clients and external organizations 
  • Ability to handle working in fast-paced and sometimes stressful work environment  
  • Flexibility and the ability to prioritize job duties based on business needs 
  • Ability to work in an environment with individuals with a variety of abilities  
  • Ability to handle sensitive and confidential information properly, including, but not limited to, personal information of the administrative team, business and client related information, and any information covered under HIPAA. 
  • Must be open to work Sundays, as needed. 

Certification and License Requirements 

  • Valid Driver’s License   
  • Auto Insurance  
  • CPR/AED Certification (within 90 days)  
  • Mental Health First Aid (within 90 days)   
  • Handle With Care (within 90 days)   
  • Mandated Reporter (within 90 days)   
  • ACES training (annually)   

Physical Requirements 

  • Prolonged periods of standing and walking 
  • Must be able to kneel, sit, stand, crawl, push, and pull to assist children throughout the day 
  • Must be able to lift up to 10lbs routinely and up to 50lbs occasionally   
  • Must be able to safely perform a restraint under the training and guidance of Handle With Care. 
  • Must be able to safely perform Ukeru physical de-escalation
